Admissions System

The Jenzabar PX Admissions System is a comprehensive marketing tool that supports traditional record keeping as well as the sophisticated and creative efforts required of competitive institutions. The system tracks both inquiries and applications originating from a variety of sources and utilizes service bureau data available on tape from services like Educational Testing Service and Admissions Testing Program. Coded fields are validated during data entry and updated to increase accuracy. Timely follow-up letters and reports are generated automatically at user-specified intervals with optional labels, envelopes, and reports to complement each letter type. Standard output includes letters reminding applicants to send specific documents and information required to complete the admissions process and personalized letters of acceptance or rejection.

Financial Aid System

The Jenzabar PX Financial Aid System provides the user the ability to process financial aid applicants and generate associated reports while conforming to NASFAA guidelines. Financial Aid is entered on a fund-by-fund basis or formula packaging can be implemented. Awards are entered, accepted, and transmitted during the registration process if the necessary information is available. The student can accept or reject individual portions of the award package. Aid can be cancelled or adjusted at any time.

Student information may be accessed from both the Jenzabar PX Admissions and Registration Systems. College work-study earnings data is available through the Jenzabar PX Payroll System. Aid can be transmitted for posting to student accounts through the Jenzabar PX Student Billing/Receivables System. NASFAA format transcript information is maintained and may be printed at any time.


Degree Audit/Academic Advisement

The Jenzabar PX Degree Audit/Academic Advisement System uses data from several sources including current student schedules and historical course information from the Registration/Academic History module to evaluate a student’s progress toward a degree. Using a computerized course catalog, the system produces a degree audit transcript reflecting the student’s current status of each of the degree requirements. An advisor, with the student present, may use the system to interactively evaluate possible degree requirements and to plan a schedule of classes to fulfill them.

Multiple catalog years may be defined using DARel (the Degree Audit Requirements Language) a non-procedural English-like language based on knowledge-based technology. The system will accommodate CLEP, transfer credits, life experience provisions, as well as individualized programs of study. The Jenzabar PX Registration and Academic History System is fully integrated with Degree/Academic Advisement and must be installed prior to use of that module.


Registration/Academic History

The Jenzabar PX Student Registration System includes on-line enrollment, registration, class rosters, student schedules, grade reports or report cards, drop/add procedures, and pre-registration for multiple terms or semesters. This system allows the user to input, update, and maintain student and curriculum data. Student identifiers are institutionally determined, rather than dictated by the software. Enrollment limits may be set for each class by entering a student on a waiting list for classes and/or placing that student into a user defined number of reserved sets. Notifications of time conflicts and closed classes are displayed on the user desktop device with overrides allowed for each. The system handles audit and variable course credits and late registration. Closed class lists and other registration management reports are available on demand. The system provides pre-requisite and co-requisite checking, notification of academic and financial holds, open entry/open exit courses, reserved seats, wait-listing, and alternatives to closed classes on request.

The Jenzabar PX Academic History System provides on-line access to and maintenance of student academic history records. Historical data is accessed from the Jenzabar PX Registration System at the end of each grading period. Calculation of grade point averages is set up according to institutional specifications. Repeated courses are flagged and may be excluded from GPA calculations. Multi-page transcripts may be printed selectively or en masse on plain continuous-form paper or on approved preprinted forms.


Student Billing/Receivables

The Jenzabar PX Student Billing/Receivables System is used to generate bills for tuition, class or lab fees, and other student charges. Billing is handled individually or en masse through statements sent each month (to separate billing addresses if desired) as well as through pop-up bills generated during registration. Plain 8½" x 11" continuous forms may be used to print the billing statements with the mailing address properly aligned for use in a window envelope. Billing statements contain transaction details such as tuition fees, miscellaneous fees, student charges, financial aid awards, room and board, other debits or credits, and previous balances. Tuition expenses are computed from the enrollment data in the Registration System. Charges are defined by the institution and accommodate separate rates for in-state and out-of-state students, flat rate tuition, variable tuition charges based on credit honors, standard and special fees, and room and board. Scholarships, grants, and other credits accessed from the Jenzabar PX. Financial Aid System are also processed. Preregistration estimated billings may be printed and retained until the actual billing cycle. The actual period for retaining transactions is up to the institution.

The Student Billing/Receivables System interfaces with the Jenzabar PX Fiscal Reporting System, the Registration/Academic History System, and Jenzabar PX Financial Aid System.

Tele-Registration

The Jenzabar PX Tele-Registration System enables students to register for classes, listen to their schedules, add or drop classes, and hear their current balance any time of the day—all simply by using a standard touch-tone telephone. Tele-Registration software integrates "FirstLine," an Interactive Voice Response Unit (IVR) system from Computer Communications Specialist, Inc. (CSS), with the Registration/Academic History System. Tele-Registration provides service 24 hours a day, seven days a week and eliminates the need for temporary staffing and overtime to handle peak registration periods. This means more convenient access and increased services to students.

POISE-SkyLite provides a Windows-like environment to many Jenzabar PX applications, automatically enhancing the appearance and functionality to include buttons, drop-down and scrolling lists, and 3-dimensional data entry areas. It also provides terminal emulation for a wide range of character-cell terminals. SSH, TELNET and Serial protocols are supported.

Development/Alumni

The Jenzabar PX Development/Alumni System is a flexible on-line system which provides colleges, universities, and independent schools the ability to manage constituent records, process matching gifts and pledge reminder letters, and track capital campaigns. Information on graduating seniors may be transferred directly to the Development/Alumni System from the Jenzabar PX Registration System.

Distributed Purchasing System

The Jenzabar PX Distributed Purchasing System reduces the time it takes to expedite the approval cycle for purchase requisitions and eliminates volumes of paper work. Anyone on campus who has access to this system can originate purchase requisitions and travel requests electronically. The Distributed Purchasing System cuts the tedious typing of paper requisitions, verifies budget availability when entering the requisition, and notifies the user where the acquisition is in the approval cycle. Jenzabar PX Distributed Purchasing System automatically creates entries into the Jenzabar PX Fiscal Purchase Order System from approved requisitions.

Fiscal Reporting

The Jenzabar PX Fiscal Reporting System is based on generally accepted fund accounting concepts and operates on the basis of an annual budget. It allows for budget adjustments throughout the year. The system conforms to NACUBO accounting guidelines and includes general ledger, accounts payable, encumbrances, and cash receipts. Audit trails are available for all transactions. The system is menu-driven for ease of operation, guidance, and control. Posted balances and real-time working balances are maintained for transaction entry checking and account balance inquiry. Transaction data entry provides on-line assistance.


Fixed Assets

The Jenzabar PX Fixed Assets System may be integrated with the Jenzabar PX Fiscal Reporting System to provide complete and accurate management of information about your institution’s depreciable and non-depreciable capital assets. The Fixed Assets module provides flexibility in depreciation methods including Straight Line, Double Declining Balance, 125% Declining Balance, and Sum of the Year’s Digits. Special features include specialized reports for depreciation, vehicles, and real estate, such as Adjustments to Cost Basis, Vehicle Assigned Driver Report, and Real Estate Square Footage Report.

Payroll System

The Jenzabar PX Payroll System has all the standard payroll features with most reporting and distribution done through data management routines. Each individual is allowed standard deductions, miscellaneous deductions, and tax-sheltered annuities. New deductions may be added any time. Hourly wages, overtime, and contracts can be handled. Sick leave and vacation hours are calculated and accumulated. The salaries of contract employees may be controlled by the starting and ending dates. Payment may be stopped if the contract balance falls below zero. Student employees may be treated as contract employees with cutoff at the end of the work-study aid period. Each deduction may be governed by a cutoff date and/or amount.

Personnel System

The Jenzabar PX Personnel System provides a comprehensive system for tracking and reporting employee data on attendance, leave accruals, benefits, plans and deductions, honors, accomplishments, position control, salary information, and mandatory government reports i.e. EEOC and OSHA. Additionally, it allows the users to track and print reports for the entire job applicant pool. The Jenzabar PX Personnel System interfaces with the Jenzabar PX Payroll System, allowing total integration of information between the payroll and personnel functions—providing your institution with a complete human resources system.

Jenzabar's Internet Campus Solution™ (JICS)

Jenzabar's Internet Campus Solution (JICS), a portal solution designed exclusively for higher education, provides campus constituents with a single point of access to a virtually limitless number of communications, web services, community building, and e-learning applications. JICS provides 24x7 access to administrative, community and academic services and has a track record of high end-user adoption rates due to its focus on "must-have" features that encourage frequent portal use. Whether integrated with a Jenzabar administrative solution or tied to a different back-end database, JICS provides a framework for campuses to deliver the three "mission critical" elements of a successful portal: communication, web services, and community.

E.D.E. Interface

The Jenzabar PX E.D.E. Interface allows users of the Jenzabar PX Financial Aid System to access the Department of Education’s EDExpress System for downloading ISIR data. The interface features include menu-driven processing, complete documentation, telephone support under a subscription service, annual updates to comply with federal requirements, and the ability to work with individual or multiple student data.

SmartScan

The Jenzabar PX SmartScan System eases the burden of the data entry process by permitting users to enter data directly from the source document via scanning. This data is then stored in a DMS-Plus file directed by user specifications. SmartScan will support any Optical Mark Reader that will allow the user to define scanner sheet formats and the insertion of constant text data into that form definition.


SPEEDe Interface

The Jenzabar PX Electronic Transcript System is a multi-function system designed to help institutions manage and fulfill requests for registration transcripts.  The system supports producing registration transcripts in either printed or electronic form, using the ANSI ASC X-12 Standard EDI (SPEEDE) format, which is delivered to designated institutions using the internet.  The reception of electronic transcripts and related processing is also supported.

CampusConnect

CampusConnect is a web browser interface to web server based programs utilizing a two-tiered design. CampusConnect provides web browser access to current versions of Jenzabar PX® application functions. With the exception of add/drop functions, students who are currently enrolled have read-only access to information specific to them at their convenience.

IPEDS Reporting


AASIS (Arkansas Administrative Statewide Information System)

The Jenzabar PX AASIS Interface provides state supported institutions in Arkansas with an interface whereby they can submit expenditure information from the Jenzabar PX Fiscal Accounting and Payroll Systems to the State of Arkansas Department of Finance and Administration.

TRAQS (TRS Reporting And Query System)

The Jenzabar PX TRAQS Interface provides state supported institutions in Texas with an interface whereby they can submit the necessary demographic and payroll information from the Jenzabar PX Payroll/Personnel Systems to the Teachers Retirement of Texas.
